Listing on several booking apps brings guests, and it also brings a risk every small property owner dreads: two guests arriving for the same room. Apologising, upgrading or sending a guest elsewhere costs money and reviews. The good news is that clashes come from a few predictable gaps, and each one can be closed.

The EZ Solutions team wrote this guide. We build Visito, property management software that syncs a small property’s calendar with online travel agents. The habits below help whatever system a property uses.
Why do double bookings happen?
Double bookings happen because every online travel agent keeps its own calendar. When a room is booked on one app, by phone or by a walk-in, the other apps do not know until someone, or something, tells them. In that gap, a second guest can book the same room. The OTA glossary entry explains the term.
| Cause | Fix |
|---|---|
| Each app has its own calendar | Sync every app with one master calendar |
| Walk-ins and calls not entered at once | Enter them on the master calendar before confirming |
| Sync delays at busy times | Daily check of each extranet in peak season |
| Room types mapped wrongly | Match each listed room to the right room on the calendar |
| Rooms closed for repairs left open online | Block them on the master calendar |
1. Keep one master calendar
The first rule is that one calendar is the truth. Every room, cottage or dorm bed appears on it, and every booking, from any source, goes on it. The apps follow the master calendar, not the other way round.
2. Sync each OTA with the master calendar
Calendar sync links the master calendar with each listing on Airbnb, Booking.com, MakeMyTrip, Agoda and others. A booking on any one marks the room taken on all of them. Linking each listing once, with each listed room matched to the right room on the calendar, removes the biggest cause of double bookings.
The channel manager glossary entry explains the related tools larger hotels use.
3. Enter walk-ins and calls straight away
Direct bookings are the gap sync cannot close by itself. A guest who calls or walks in must go on the master calendar before the room is confirmed, not at the end of the day. That one habit prevents most phone-booking clashes.
4. Block rooms that are not for sale
A room closed for painting, a cottage kept for family, or a dorm bed out of use should be blocked on the master calendar. Otherwise the apps keep selling it.
5. Check at busy times
Sync between systems is not always instant. In peak season, check each extranet against the master calendar once a day, and keep a rule for the rare clash: who calls the guest, what alternative is offered, and how the booking is recorded.
If a double booking still happens
- Contact the later guest quickly, before they travel.
- Offer a similar or better room, at the property or a trusted neighbour’s.
- Record what happened and why, so the gap can be closed.
Most guests forgive an honest, early call far more than a surprise at the desk.
Direct bookings reduce the risk
Every guest who books directly, through the property’s own site or a returning guest’s message, is one fewer booking passing through an app. A simple property microsite with a booking link, shared with past guests, helps. The homestay management guide covers the rest of the daily routine.
How Visito prevents double bookings
Visito puts every booking on one calendar:
- OTA calendar sync with Airbnb, Booking.com, MakeMyTrip and Agoda.
- An availability calendar across rooms, cottages and dorm beds, from enquiry to checkout.
- Walk-ins and bookings entered at the front desk on the same calendar.
- A front desk dashboard of arrivals, departures and room readiness.
- Booking agents with commission, and a property microsite with a booking link.
- WhatsApp and SMS confirmations sent to each guest.
